Refund Policy

Purpose
This policy establishes clear, fair guidelines for tuition refunds when participants withdraw from the CVR Level 1 ACC Coach Training Program.
Refund Eligibility Periods
Before Program Starts
More than 30 days before start date:
- Refund: 100% of tuition paid
- Processing Fee: $50 administrative fee
- Timeline: Refund issued within 15 business days
15-30 days before start date:
- Refund: 75% of tuition paid
- Retained: 25% + $50 administrative fee
- Timeline: Refund issued within 15 business days
Less than 15 days before start date:
- Refund: 50% of tuition paid
- Retained: 50% + $50 administrative fee
- Timeline: Refund issued within 15 business days
After Program Starts
Week 1-2 (First 10% of program):
- Refund: 50% of tuition paid
- Less: Hours/materials used (prorated)
- Timeline: Refund issued within 30 business days
Week 3-4 (Up to 20% of program):
- Refund: 25% of tuition paid
- Less: Hours/materials used (prorated)
- Timeline: Refund issued within 30 business days
After Week 4 (More than 20% of program):
- Refund: No refund available
- Exception: Documented medical/emergency circumstances (see below)
Withdrawal Process
How to Withdraw
- Submit written withdrawal notice to Program Director
- Include:
- Full name and enrollment date
- Reason for withdrawal (optional but helpful)
- Effective withdrawal date
- Refund payment method preference
- Receive withdrawal confirmation within 5 business days
Official Withdrawal Date
Withdrawal is effective on the date CVR receives written notice, NOT the date the participant stops attending.
Important: Participants who stop attending without formal withdrawal remain financially obligated for full tuition.
Special Circumstances
Medical/Emergency Withdrawal
Participants who withdraw due to documented medical or emergency circumstances may request special consideration:
Eligible Circumstances:
- Serious illness or injury (participant or immediate family)
- Death in immediate family
- Military deployment
- Involuntary job relocation requiring move
- Other extraordinary circumstances beyond participant control
Requirements:
- Submit written request within 30 days of circumstance
- Provide supporting documentation (medical note, death certificate, deployment orders, etc.)
- Explain how circumstance prevents program completion
Potential Outcomes:
- Full or partial refund (case-by-case determination)
- Program deferral to next cohort with no penalty
- Extended completion timeline
- Partial completion documentation
Decision Process
- Program Director reviews request and documentation
- Decision issued within 15 business days
- Appeal available to [CVR Leadership/Board] within 30 days
Non-Refundable Items
The following are not eligible for refund under any circumstances:
- Application fees (if applicable)
- Administrative fees ($50 processing fee)
- Physical materials already shipped
- Third-party fees (certification exam fees, ICF membership, etc.)
- Completed mentor coaching sessions
- Renewal fees for prior periods
Refund Calculations
Prorated Refunds
When applicable, refunds are calculated as:
Formula: (Total tuition - non-refundable fees) × (percentage eligible) - (hours attended ÷ total hours × tuition)
Example:
- Tuition paid: $1,099
- Withdrawal in Week 3 (eligible for 25% refund)
- Hours attended: 12 of 80
- Calculation: ($1,099 - $50) × 25% - ($1,099 × 12/80) = $262.25 - $164.85 = $97.40 refund
Payment Plan Refunds
Participants on Payment Plans
If participant is on payment plan at time of withdrawal:
Paid Less Than Owed:
- Refund calculated based on actual payments made
- Remaining payment obligations canceled
- No refund if payments made exceed calculated refund amount
Paid More Than Owed:
- Refund calculated as if paid in full
- Only excess over retained amount refunded
Refund Method
How Refunds Are Issued
- Original payment method preferred (credit card, bank account)
- Check issued if original method unavailable
- Processing time:
- Credit card: 5-10 business days
- Check: 15-20 business days from issue date
International Participants
- Refunds issued in USD
- Wire transfer fees deducted from refund amount
- Currency exchange fluctuations are participant responsibility
Dismissal from Program
Involuntary Withdrawal
Participants dismissed for:
- Violation of Code of Ethics
- Academic dishonesty
- Threatening/disruptive behavior
- Failure to meet payment obligations
Are NOT eligible for any refund.
Program Cancellation by CVR
If CVR Cancels Program
In the unlikely event CVR cancels the program:
- Full refund of all tuition and fees paid
- No administrative fees retained
- Issued within 30 business days
- Participants may receive priority enrollment in next cohort
Program Schedule Changes
If CVR makes significant schedule changes that create hardship:
- Participants may withdraw with full refund
- Must withdraw within 15 days of notification
- Subject to $50 administrative fee
No Refund for Incomplete Work
Participants who:
- Fail to complete assignments
- Miss synchronous sessions voluntarily
- Do not access learning materials
- Choose not to participate fully
Are NOT eligible for refund based on underutilization.
Appeals Process
Disputing Refund Decision
If participant disagrees with refund calculation or denial:
- Submit written appeal within 30 days of decision
- Include:
- Specific basis for disagreement
- Supporting documentation
- Desired resolution
- Receive response from [CVR Leadership] within 15 business days
- Decision is final

Important Notice: This refund policy is part of your Enrollment Agreement. By enrolling in the CVR Level 1 ACC Program, you acknowledge understanding and acceptance of these terms. Refund requests must follow the procedures outlined above to be considered.
